The AYA National Meeting stands out as a highlight each year, bringing together Local Coordinators, Overseas Partners, and staff for an enriching weekend. It's a chance to engage in professional development, foster valuable connections, and enjoy the culture of the selected destination. The meeting consists of a full day of professional development and training followed by two free days to explore the city, join group excursions, bond with friends—both old and new—and connect with the AYA team.

As the cradle of Western civilization, Athens is home to iconic landmarks such as the Acropolis and Parthenon - timeless symbols of heroism, perseverance, and discovery that align perfectly with this year’s theme, “A Hero’s Journey.” Set against sun-washed hills and the sparkling Aegean Sea, the city’s vibrant neighborhoods feature historic ruins, world-class museums, bustling cafés, and lively squares, creating a powerful blend of legacy, reflection, and forward-looking inspiration as we honor AYA’s past and embark on the next chapter together.

Registration

Meeting Schedule

You will depart from the U.S. on Wednesday, November 11th and fly to Athens, Greece.

The National Meeting workshops are scheduled for all day Friday (attendance for LCs is mandatory).

Saturday and Sunday are free days, with optional tours available over the weekend. All attendees will participate in a celebratory group dinner and the 2027 National Meeting destination will be announced!

Flights back to the U.S. will depart on Monday, November 16th.

Participation

A Local Coordinator (LC) may earn a maximum of two trips. Trips are non-transferable. The National Meeting is open only to AYA Local Coordinators and their adult guest who accompanies them; individuals under the age of 18 may not attend the 2026 AYA National Meeting. LCs must maintain active status and remain in good standing with the program to attend. If an LC is terminated or deemed inactive prior to the National Meeting, their participation will be cancelled.

AYA recommends that all attendees are in good physical and mental health and able to travel without special medical supervision. AYA is unable to provide individual assistance to guests with walking difficulties or other personal needs. Guests requiring such individualized assistance must be accompanied by an able-bodied companion who can provide it. AYA meetings are international, and it is important to recognize that different countries have different laws and social norms. As this is group travel there may be set menus during mealtimes. We work with different vendors, and often serve local authentic dishes; due to this we cannot guarantee they will be allergen free. Please inform AYA if you have an allergy or food restriction (vegetarian, gluten-free, etc) prior to departure and we will do our best to make an option available. As group menus are served, alternatives may be limited. Although AYA will inform the restaurant of the situation, it is the responsibility of the individual traveler to confirm the choice is suitable for your dietary needs. AYA cannot guarantee cross-contamination or airborne allergens will be eliminated. Please make sure that someone on the trip is aware of what to do in case of an allergic reaction as AYA staff and tour operators will not be able to provide medical care.

New Local Coordinators vetted after August 1, 2025 must make 3 placements to earn one place (6 to earn two places), to qualify and must make 2 additional placements to earn the Extension Trip for themselves and 2 more for a companion.
In order to attend the National Meeting Extension Trip, the LC and guest must attend the National Meeting itself.
Regarding Placements

Placements must be finalized and converted to PLC to maintain qualifications; National Meeting credit will be null and void for any placement cancellations. All assignments must be converted by August 1st to count towards your National Meeting qualification. Contact your Placement Specialist if you have any questions regarding your status.

Online registration must be completed by August 15th. If you submit your registration after the deadline, you will not be guaranteed a space at the meeting. If you would like your own single room, there is a single room supplement cost. Supplemental cost payments (single room, companion, extended stay) must be paid by check or credit card prior to September 15th. Local Coordinators who are not able to qualify themselves or a companion may purchase the trip. 

What’s Included

Round-trip international flight from your nearest major international airport; ground transfers from the airport to hotel in Athens when arriving and departing on conference dates or the extension trip:

  • • 4-nights double-room accommodation at the Wyndham Grand Hotel
  • • Welcome reception on Thursday evening
  • • Farewell gala with dinner and dancing
  • • Comprehensive training workshops on Friday, including lunch
  • • All taxes and service fees
Rooming

All registrants for the 2026 AYA National Meeting are booked in double rooms. If you are traveling alone, AYA will assign a roommate of the same sex to share accommodations. You may choose to pay an additional fee for the entire meeting to secure a single room.

All flights and land accommodations are booked through the AYA national office. AYA will not able to assist or facilitate alternate travel or rooming arrangements for qualified coordinators or guests.

Travel
  • • Starting in 2026, the European Commission will roll out ETIAS, a travel authorization entry requirement for visa-exempt nationals travelling to any of these 30 European countries.
  • • A passport the is valid for at least three months beyond the period of stay.
  • • Round-trip travel will be arranged from major U.S. international airports to Athens, Greece.
  • • We will purchase your flights to Athens. An itinerary will be sent to you before ticketing, for you to approve within 24 hours so we can purchase the ticket promptly.
  • • According to TSA Government regulations, please be sure the name appears exactly as it does on your passport and dates are correct. Otherwise boarding will be denied! If you do not have a middle name on your passport, please write "NONE" when you register.
  • • We will book the best flights according to price and conference times, however we will not be able to guarantee a specific airline, seat assignment, or routing. Attendees are responsible for any luggage fees that may be incurred.
  • • Attendees who wish to make alternate travel arrangements will be responsible for booking their own flights and sending AYA their flight itinerary. AYA will promptly reimburse the attendee up to the cost of a standard R/T flight within the specified arrival and departure dates from the attendee’s nearest international airport.
  • • Any changes requested after flights are ticketed will be at the expense of the attendee.
  • • Anyone who has a medical condition or is concerned about their health should consult with a physician prior to registering and/or departing the U.S to ensure that you are able to safely travel to and enjoy the National Meeting.
  • • All travelers must comply with any and all entry requirements to enter Greece or to re-enter the U.S.

Changes

Any changes or revisions must be made in writing to Lisa Schacter via email at LSchacter@aif.org. No phone calls or messages will be accepted. Any changes will be subject to a $50 service fee plus penalties applicable.

Cancellations

Paying participants: If you must cancel your trip, AYA will refund the balance less any airline ticket and hotel penalties. Participants paying with Gold Standard Rewards will have Gold Standard Rewards deducted for applicable airline and hotel penalties. No refund will be given for cancellations made within 45 days of departure. Tickets/Trips cannot be used at another time. Tickets are non-refundable, non-transferable, non-endorsable. Please be sure that all information on your registration form is correct and complete.
